Submission rules

Important dates:

  • Submission of simple abstracts: from July 06, 2026, to August 01, 2026.
  • Submission of extended abstracts and video delivery for participants competing for awards: from July 06, 2026, to August 01, 2026.
  • Deadline for the announcement of the selected works to compete for awards: August 09, 2026.

1. GUIDELINES FOR WORK PREPARATION

The participant must choose only one submission modality, as the categories are mutually exclusive. It is emphasized that eligibility for awards in the undergraduate, master's, and doctoral categories is strictly conditioned on the submission of the work in the extended abstract format and the delivery of the presentation video, and the file must rigorously follow the specifications of the corresponding official template. Works submitted in the simple abstract format will not compete for awards, therefore there is no need to send the presentation video. Simple abstracts will be evaluated and intended exclusively for publication in the event's Annals.

The submission of either modality is permitted exclusively to the first author, who must be duly registered for the event. Each participant may submit only 1 (one) single work as the first author, being mandatory to choose between submitting a simple abstract or an extended abstract. There are, however, no restrictions or limits for participation and submission as a co-author in works led by other participants.

It is worth highlighting that all participants, regardless of whether they have chosen to submit a simple abstract or an extended abstract, must mandatorily prepare and present their respective works in poster format during the event.

Finally, it is the sole responsibility of the first author (corresponding author) to ensure that all listed co-authors have read, reviewed, and expressly agreed to the final content of the document before submission. It is also their duty to ensure that the final file strictly complies with all technical guidelines of this notice, including the correct use of templates, word or page limits, and the required formatting.

1.1 GUIDELINES FOR SIMPLE ABSTRACT PREPARATION

1.1.1 Document Length and Formatting:

  • The body text of the simple abstract must contain a minimum of 300 and a maximum of 500 words. This limit excludes the title and keywords, which have their own fields to be filled out. The title must have a maximum of 20 words. From 3 to 5 keywords must be presented.
  • The text must be structured in a single paragraph, with no line breaks.
  • The required formatting is: Arial font, size 11, with justified alignment and single (1.0) line spacing.
  • All document margins (top, bottom, right, and left) must be 2.5 cm.
  • The submission must be made using the official simple abstract template provided by the event.

1.1.2 Structure and Content of the Text:

  • 1.1.2.1 The text must be direct, concise, and informative. The single paragraph must present, in a fluid and sequential manner: Brief introduction and justification; Objectives of the study; Main methodological procedures adopted; Most relevant results; Conclusions obtained.
  • 1.1.2.2 References: Given the concise nature of the simple abstract, the presentation of bibliographic references in the body text is not required.
  • 1.1.2.3 Originality: Only original and unpublished scientific contributions that are aligned with the areas of interest of the XVII SIGM will be accepted.

1.1.3 Visual Restrictions:

  • 1.1.3.1 Graphical Elements: The inclusion of figures, tables, or graphs in the simple abstract is expressly forbidden.
  • 1.1.3.2 Highlights and Symbols: The use of bold and/or underlined formatting to highlight information in the text is not permitted. It is also suggested to avoid the use of equations, mathematical symbols, or abbreviations that are not widely recognized.

1.1.4 Language:

  • 1.1.4.1 Language: Works written in Portuguese or English will be accepted.

1.1.5 Review and Post-Submission Changes:

  • 1.1.5.1 The spelling and grammatical review of the document is the sole responsibility of the authors and must be finalized before submission.
  • 1.1.5.2 It is the exclusive obligation of the first author (corresponding author) to register all co-authors in the system at the time of submission, and they must mandatorily ensure that the names are entered in the exact order of authorship stipulated and present in the work's document. Post-submission complaints regarding missing co-authors or incorrect order will not be accepted.
  • 1.1.5.3 After the submission is completed, the abstract may not undergo changes, except in cases where the Scientific Committee requests specific corrections for adjustments.

1.2 GUIDELINES FOR EXTENDED ABSTRACT PREPARATION

1.2.1 Document Length and Page Setup:

  • 1.2.1.1 The extended abstract must have a maximum limit of 5 (five) pages, including bibliographic references, figures, graphs, and tables. Works that exceed this limit will be rejected. The title of the work must be centered, Arial font, bold, size 14, with the first letter of the title capitalized, and must have a maximum of 20 words. From 3 to 5 keywords must be presented.
  • 1.2.1.2 The document must be configured in A4 size (210 x 297 mm), portrait orientation.
  • 1.2.1.3 All document margins (top, bottom, right, and left) must be 2.5 cm.
  • 1.2.1.4 The submission must be made using the official extended abstract template provided by the event.

1.2.2 Text Formatting:

  • 1.2.2.1 Body Text: Must be written in Arial font, size 11, with justified alignment and 1.5 line spacing, except for references, which must be single-spaced (1.0).
  • 1.2.2.2 Paragraphs: The beginning of each paragraph must have an indent of 1.5 cm from the left margin.
  • 1.2.2.3 Section Titles: Must be written in capital letters and in bold. Arial font, size 12, with left alignment must be used.

1.2.3 Mandatory Structure of the Extended Abstract: The document must strictly follow the section structure below:

  • Abstract and Keywords: Concise presentation of the context, objective, methodology, and main results. Specific formatting of the Abstract: Arial font, size 11, justified alignment, and single spacing (1.0). Limit: 150-200 words. Keywords: 3-5 words, separated by semicolons.
  • Introduction: Must include the definition of the theme, the research question (problem), the objectives, the theoretical framework, and a brief mention of the method used.
  • Materials and Methods: Clear, organized, and concise description of the procedures. Must include: sample/subjects, instruments and tools, collection procedures, variables, experimental design, ethical aspects (if applicable), statistical treatment, and sufficient information to ensure the replicability of the study.
  • Results and Discussion: Objective presentation of the research findings. The use of graphs, tables, and figures is permitted and encouraged. The data must be organized logically, emphasizing relationships between variables and supported by appropriate statistical analyses to sustain the discussion.
  • Final Considerations: Brief answers to the research objectives. Recommendations and suggestions for future work may be included in this section.
  • References: Must follow the APA (American Psychological Association) formatting guidelines. Only works effectively cited in the text (e.g., books, journal articles, websites) must be listed.

1.2.4 Insertion and Formatting of Tables and Figures

  • 1.2.4.1 Positioning: All tables, figures, graphs, or charts must be inserted in the body text immediately after their first mention. It is not permitted to group all illustrations at the end of the document.
  • 1.2.4.2 Tables: The caption (or title) of the tables must mandatorily be positioned at the top. If the table requires footnotes (to indicate the data source, explain abbreviations, acronyms, or levels of statistical significance), these must be inserted immediately at the bottom of the table, in a clear and concise manner.
  • 1.2.4.3 Figures: For figures, photographs, graphs, or illustrations, the caption (title) and the respective source must be positioned at the bottom of the image.
  • 1.2.4.4 Font Formatting: Both captions (of tables and figures) and footnotes belonging to tables and the internal content of illustrations must be formatted with Arial font, size 10, centered or justified alignment, and single spacing (1.0) between lines.

1.2.5 General Provisions for the Modality:

  • 1.2.5.1 As a general rule, for this modality, the inclusion of figures, tables, graphs, and equations is permitted, provided that the final document does not exceed the 5-page limit.

1.2.6 Language:

  • 1.2.6.1 Language: Works written in Portuguese or English will be accepted.

1.2.7 Review and Post-Submission Changes:

  • 1.2.7.1 The spelling and grammatical review of the document is the sole responsibility of the authors and must be finalized before submission.

1.3 GUIDELINES FOR BANNER (POSTER) MAKING AND PRESENTATION

1.3.1 Dimensions, Making, and Template:

  • 1.3.1.1 Official Dimensions: The poster must mandatorily be made with the dimensions of 0.90 m in width by 1.20 m in height (portrait/vertical orientation).
  • 1.3.1.2 Readability: The general text of the poster and all visual elements (figures, photographs, tables, and graphs) must have a size and resolution that ensure clear reading at a minimum distance of 2 (two) meters. Posters that do not meet the readability and visual formatting standards will be vetoed by the organization.
  • 1.3.1.3 Template: The making must follow the standard model of the event.

1.3.2 Structure and Mandatory Content:

  • 1.3.2.1 Title Compatibility: The title printed on the poster must be exactly the same as the title of the abstract submitted and previously approved by the Scientific Committee.
  • 1.3.2.2 Required Topics: The content of the poster must mandatorily contain the following elements: Title; Names of the authors; Institution, city/state/country, and contact e-mail; Funding source (if applicable); Introduction and Objective; Methodology; Results and Discussion; Conclusions; References.
  • 1.3.2.3 Responsibility: The authors are fully responsible for the veracity of the content and the quality of the material presented on the posters.

1.3.3 Exhibition Rules (Poster Session):

  • 1.3.3.1 Date and Time: The poster presentation session will officially take place on August 13, 2026 (Thursday), at 15:00 (BRT).
  • 1.3.3.2 Mounting and Dismounting: The hanging and removal of the poster are the exclusive responsibility of the author. Posters that are not removed will be discarded.
  • 1.3.3.3 Location: Poster mounting may only occur on the panels and spaces strictly indicated and designated by the event organization.

1.4 AWARDS (THREE BEST WORKS PER CATEGORY)

1.4.1 Selection and Format:

  • 1.4.1.1 As established in Item 1, works submitted in the simple abstract format will not be eligible for awards.
  • 1.4.1.2 The works selected by the Technical-Scientific Committee of the XVII SIGM as the three best in each category (Undergraduate, Master's, and Doctorate) will have their final evaluation for awards based on the composition of the submitted abstract, the sent presentation video, and the expository presentation in poster format during the event.
  • 1.4.1.3 The presentation must maintain strict coherence with the data, results, and information submitted in the approved abstract.

1.4.2 Presentation Video:

  • 1.4.2.1 The sending of the presentation video is a mandatory requirement for all authors who choose the extended abstract modality.
  • 1.4.2.2 The authors of the works competing for the awards must send an abstract presentation video, containing supporting slides and with a maximum duration of 5 (five) minutes.
  • 1.4.2.3 With the objective of dissemination of the research to the participants, the finalists' videos will be displayed in the event's auditorium before the award ceremony.
  • 1.4.2.4 Failure to send the video within the deadline stipulated by the Organizing Committee will result in automatic disqualification from the award competition. The work, however, will remain valid for the regular scientific program of the event.

1.4.3 Guidelines for Recording and Sending the Presentation Video:

  • 1.4.3.1 Duration: The video must have a maximum duration of 5 (five) minutes.
  • 1.4.3.1.1 Videos that exceed this time limit will be subject to automatic disqualification from the award process.
  • 1.4.3.2 Content: The presentation must address the work submitted to the event in an objective manner, mandatorily including: introduction, objectives, methodology, main results, and conclusions.
  • 1.4.3.2.1 The use of slides as supporting material during the presentation is recommended.
  • 1.4.3.3 Recording: The video recording may be performed using videoconferencing platforms or screen capture software.
  • 1.4.3.3.1 The display of the presenter's image (camera) during the video is optional, but highly recommended.
  • 1.4.3.3.2 The audio must be clear, sharp, and free of noises that could compromise the understanding of the presented content.

1.4.4 File Format

  • 1.4.4.1 The video must mandatorily be exported and sent in MP4 format.
  • 1.4.4.2 It is recommended that the recording has a minimum resolution of 720p (HD).

1.4.5 Identification

  • 1.4.5.1 The video file must be named strictly following the pattern: abstract ID_Presenter's name.mp4
  • 1.4.5.2 Example: 015_MariaSilva.mp4

1.4.6 Sending

  • 1.4.6.1 The video must be hosted in the cloud (via Google Drive), and its respective access link must be sent to the e-mail [email protected]. It is the sole responsibility of the participant to ensure that the link remains active and with viewing permission unlocked until the end of the event.
  • 1.4.6.2 As mentioned above, the file allocated in the link must be in MP4 format and duly named according to the identification guidelines of the Organizing Committee.
  • 1.4.6.3 Videos sent directly as an email attachment, via messaging apps, or by any other means not specified in this regulation will not be accepted.

1.4.7 Deadline

  • 1.4.7.1 The deadline for sending the video link closes on August 01, 2026.

1.4.8 Authorization of Use

  • 1.4.8.1 By sending the video, the authors agree to and authorize its display during the official program of the XVII SIGM, as well as its use for institutional dissemination purposes of the event, on a non-profit basis.

1.4.9 Award Ceremony:

  • 1.4.9.1 The announcement of the winners and the respective award ceremony will take place at the end of the event, on August 13, 2026.

2. THEMATIC AREAS OR AREAS OF CONCENTRATION

2.1 The alignment tracks for the abstracts encompass the categories listed in the submission form below.

2.1.1 The thematic areas or areas of concentration of the XVII SIGM include: 

  • Molecular biology and biotechnology;
  • Biometrics, statistics, and quantitative genetics; 
  • Cytogenetics; 
  • Phenomics; 
  • Artificial intelligence; 
  • Breeding of perennial species; 
  • Breeding of annual species; 
  • Genomic selection and association.

2.2 After the abstract is submitted, it will not be possible to make changes to the text or the selected thematic area. However, it is important to emphasize that during the evaluation process carried out by the Scientific Committee, there may be changes to the assigned thematic area if deemed relevant.

2.3 The authors affirm that the submitted work is of their own authorship, that it does not infringe any third-party copyright, and that they possess the necessary permissions to use any material protected by copyright (if applicable). The event's organizing committee is not responsible for any copyright violation in the submitted works.

3. AWARDS

3.1 Eligibility and Categories:

  • 3.1.1 The Technical-Scientific Committee of the XVII SIGM will select the 3 (three) best works for awards in the following categories: Undergraduate, Master's, and Doctorate.
  • 3.1.2 Fundamental Requirement: As established in the general provisions of this notice, only works submitted and approved in the Extended Abstract format are eligible to compete for this award. Works in simple abstract format are automatically disqualified from this scope.
  • 3.1.3 During the registration process, it is mandatory for the participant to indicate their interest in competing for the awards. If there are not enough applicants meeting the required criteria, the Scientific Committee will have the prerogative to select the works that demonstrate greater scientific merit.

3.2 Prize Values and Distribution:

  • 3.5.1 The awards, for each of the three categories (Undergraduate, Master's, and Doctorate), will be distributed as follows: 1st Place: Financial prize in the amount of R$ 500.00 (five hundred reais). 2nd and 3rd Places: Official certificate of Honorable Mention.
  • 3.5.2 It is established that the prizes and honorable mention certificates will be granted exclusively after the actual presentation in poster format by the authors before the examining board.
  • 3.5.3 It is the sole responsibility of the authors of the winning works to contact the Organizing Committee, via e-mail at [email protected], to enable the procedures for receiving the financial award and retrieving the respective award certificate.

4. AGREEMENT

4.1 The act of submitting any work (whether in the simple abstract or extended abstract modality) implies the full, irrevocable, and unconditional acceptance, by all authors involved, of all norms, rules, and guidelines established in this notice and in other official communications of the XVII International Symposium on Genetics and Breeding (SIGM).

5. CERTIFICATES

5.1 The issuance and access to event certificates will be carried out exclusively through the official platform (Galoá).

  • 5.1.1 Certificates will not be sent as an email attachment. The system will send an automatic notification to the email address registered by the participant, informing the availability of the document and providing the access link.
  • 5.1.2 To obtain the document, the participant must access the received link and start the download flow directly on the event platform.
  • 5.1.3 Certificates will remain available for download on the event platform for up to 6 (six) months after the closing of the event.
  • 5.1.4 It is the sole and exclusive responsibility of the participant to access the platform for the issuance and download of their certificates. The Organizing Committee is completely exempt from responsibility for the failure to retrieve the documents or for any losses resulting from the omission of the registrant.

5.2 General Provisions on Program and Website

  • 5.2.1 The Organizing Committee reserves the right, at any time and autonomously, to make edits and updates to the official platform of the event.
  • 5.2.2 These changes may include, but are not limited to: inclusion or exclusion of speakers, changes to the official schedule, adjustments to registration regulations, modifications to abstract submission rules, and general content updates.
  • 5.2.3 It will be up to the participants to periodically monitor updates on the official event website.

6. FINAL PROVISIONS

6.1 Omissions, situations not explicitly foreseen in this document, and any divergences in interpretation will be analyzed, judged, and resolved in a sovereign and definitive manner by the Scientific Coordination of GenMelhor, with no appeals permitted against its decisions.
