NOTICE Nº 01/2025 – ABSTRACT SUBMISSION

Abstract submission: from October 10, 2025, to November 3, 2025.

Deadline to define oral presentations: November 4, 2025.

Deadline to submit the video to compete for awards: November 10, 2025.

1. RULES FOR ABSTRACT SUBMISSION

1.1 The Organizing Committee of the XVI International Symposium on Genetics and Breeding (SIGM) is pleased to announce the abstract submission period for the event. Please read the guidelines below carefully before submitting your work.

1.2 Abstract submission for the XVI SIGM will be carried out exclusively through the online system available on the event platform.

  1.2.1 Abstracts sent by mail, e-mail, or any other method not mentioned above will not be accepted.

1.3 Submission of the written abstract is mandatory.

1.4 The author submitting the work will be considered the corresponding author and will be contacted via the e-mail registered during registration.

1.5 Each corresponding author may submit only one abstract as first author, but there are no limits on participation as co-author in other works.

1.6 The abstract submission period will be open from October 10, 2025, to November 3, 2025.

  1.6.1 Works submitted outside this period will not be considered, unless an extension is granted.

1.7 The author responsible for submission must fill in all mandatory fields in the online submission form, including abstract information. The form will be available under the “Abstract Submission” tab on the event website.

  1.7.1 Two files must be attached to the submission form: one in Microsoft Word format (.doc; .docx) and one PDF:

    1.7.1.1 Identified abstract (PDF): containing author identification, to be used in the Event Proceedings.

    1.7.1.2 Anonymous abstract (DOC or DOCX): without any information revealing the authors’ identities, to be used in the evaluation process, ensuring impartiality and integrity of the review.

  1.7.2 Omission of any mandatory information will result in the abstract being disqualified.

1.8 During submission, the author must classify the work in one of the thematic areas described in item 3.1.1.

1.9 Failure to follow any instruction for abstract preparation, as detailed in Item 2 of the guidelines, will result in the work being disqualified.

2. GUIDELINES FOR ABSTRACT PREPARATION

2.1 Abstract Length and Structure:

  2.1.1 The abstract must contain between 300 and 500 words, excluding the title and keywords, which have their own fields.

  2.1.2 The abstract text must be in a single paragraph, justified alignment, Times New Roman, size 12, with 2.5 cm margins.

  2.1.3 It is recommended to write the abstract in a direct manner, prioritizing the past tense. The abstract should be informative, including a brief introduction and justification, followed by the study objectives. Additionally, main procedures adopted, key results, and conclusions should be presented.

  2.1.4 Abstracts eligible for awards at undergraduate, master’s, or doctoral levels must be submitted in extended abstract format, following the specifications provided in the corresponding template.

2.2 Abstract Formatting:

  2.2.1 For simple abstracts, inclusion of figures, tables, or charts, as well as the use of bold or underline, is not allowed. The use of equations, symbols, or abbreviations not widely recognized should be avoided.

  2.2.2 For extended abstracts, inclusion of figures, tables, charts, and equations is allowed. However, authors must note that the length of the extended abstract must not exceed five pages. Please follow this limitation to ensure quality and clarity of the work.

2.3 Submission Language:

  2.3.1 Abstracts may be submitted in Portuguese or English.

2.4 References:

  2.4.1 Given the concise nature of the simple abstract, the presentation of references is not required, except in specific cases.

2.5 Authorship and Submission:

  2.5.1 Abstract submission is restricted to the first author, who must be registered for the event.

  2.5.2 Each participant as first author may submit only one abstract. There are no restrictions on the number of submissions as co-author.

  2.5.3 Before submission, the first author must ensure that all co-authors have reviewed and agreed with the content of the abstract.

  2.5.4 The corresponding author is responsible for ensuring the abstract complies with the event guidelines, including word limits and required formatting.

2.6 Relevance and Originality:

  2.6.1 Only original and unpublished scientific contributions, aligned with the thematic areas of the XVI SIGM, will be considered.

2.7 Spelling and Grammar Review:

  2.7.1 Spelling and grammar review is the responsibility of the authors and must be done before submission.

  2.7.2 Once submitted, the abstract cannot be changed, except if the Scientific Committee requests specific corrections.

3. THEMATIC AREAS OR FOCUS AREAS

3.1 The thematic areas for abstract submission include the categories listed in the submission form.

  3.1.1 The thematic areas or focus areas of the XVI SIGM include:

  • Molecular biology and biotechnology;

  • Biometry, statistics, and quantitative genetics;

  • Cytogenetics;

  • Phenomics;

  • Artificial intelligence;

  • Breeding of perennial species;

  • Breeding of annual species;

  • Genomic selection and association.

3.2 After submission, the text and selected thematic area cannot be modified. However, during evaluation by the Scientific Committee, changes to the assigned thematic area may occur if deemed appropriate.

3.3 Authors declare that the submitted work is their own, does not infringe any third-party copyrights, and that they have the necessary permissions to use any copyrighted material (if applicable). The event organizing committee is not responsible for any copyright violations in submitted works.

4. AWARDS

4.1 The Scientific-Technical Committee of the XVI SIGM will select three (03) works to receive awards, provided they are presented orally in all categories. During registration, participants must indicate whether their work is eligible to compete for awards. If insufficient submissions are received, the Scientific Committee will choose the works demonstrating scientific merit.

  4.1.1 Selected works will be awarded on the condition they are presented orally during a plenary session designated for symposium participants.

  4.1.2 The XVI SIGM will have three award categories: Doctorate, Master’s, and Undergraduate.

4.2 After acceptance for oral presentation by the Scientific-Technical Committee, authors will be notified via the e-mail registered during registration.

  4.2.1 From November 4 to 9, the event organizing team will contact the authors of selected works, allowing each author to accept or decline the opportunity to present orally at the XVI SIGM.

4.3 Oral presentations will follow the norms detailed in item 5.2 of this notice.

4.4 Awards will be distributed as follows: 1st place: R$500.00; 2nd and 3rd place: Honorable Mention. Awards will be granted only after the oral presentation during a specific session of the XVI SIGM, in all categories.

4.5 Participants eligible to compete for awards must submit a video up to three minutes long to the following e-mail address: [email protected], by November 10, 2025, at 18:00 (BRT). Absence of this video will result in disqualification of the abstract for award purposes.

5. PRESENTATION FORM / POSTER MODEL

5.1 Poster presentation:

  5.1.1 Presentation will occur on November 11, 2025 (Tuesday), at 17:00 (BRT).

  5.1.2 Posters must measure 1.20 m (height) x 0.90 m (width).

  5.1.3 Poster text and images, including figures, photographs, tables, and charts, must be legible from a minimum distance of 2 meters.

  5.1.4 Posters must include: title, authors’ names, institution, city/state/country, contact, funding source (if applicable), introduction and objective, methodology, results and discussion, conclusions, and references.

  5.1.5 The poster title must match the title of the abstract submitted and approved by the Scientific Committee.

  5.1.6 Posters not meeting legibility and formatting standards will be rejected.

  5.1.7 Assembly and disassembly of the poster is the sole responsibility of the author.

  5.1.8 Posters can only be assembled in the space designated by the event organizers.

  5.1.9 Authors are responsible for the content and materials presented on the posters.

5.2 Oral presentation of the three best works per category:

  5.2.1 Works selected by the Scientific-Technical Committee of the XVI SIGM will be awarded based on oral presentation during the event.

  5.2.2 Presentation dates: Undergraduate – Nov 11, 2025, 16:30 (BRT); Master’s – Nov 12, 2025, 11:00 (BRT); Doctorate – Nov 12, 2025, 16:30 (BRT).

  5.2.3 Presentations must be consistent with the abstract.

  5.2.4 Each presentation will last 10 minutes, followed by 5 minutes for interaction with the examining board.

  5.2.5 The awards ceremony will take place at the end of the event, on November 12, 2025.

6. AGREEMENT

6.1 By submitting abstracts, all participants of the XVI International Symposium on Genetics and Breeding (SIGM) agree to the rules and guidelines described in this notice.

7. PROVISIONS

7.1 Any other aspects not provided for in this document will be determined by the GenMelhor Scientific Coordination.
