Submission Guidelines

🗓 Deadlines:
→ Abstract submission: 05th April 2025 (NEW DEADLINE)
→ Registration fee: before 20th April 2025 (Your registration will only be completed upon payment of the congress registration fee.)
→ Presentation Submission Deadline: 07th May 2025.

📮 How to Submit Your Abstract

Abstracts must be submitted electronically to the Congress through your Galoa account, exclusively on this platform.

Step 1

  1. Click the "Submit Now" button: the platform will prompt you to log in or create an account. Update your personal details if necessary.

  2. In the first step of submission, select the category: Poster or Oral Presentation.
  3. In the "Data" section, fill in the abstract details: Thematic Area, Title, Abstract Text, Keywords, and upload the submission file.

  4. Add Authors: in the third step, add the main author (including full name, email, and institution) as well as the co-authors' details. Remember to indicate the presenter and ensure all authors are included!

  5. In the Confirmation step, review all the information. You can save a draft or, if everything is correct, click on "Submit Now."

Note: We use an automated system, so once your abstract is submitted, you will not be able to edit it because the system will assign your submission to a reviewer.

You can submit your draft until April 5th, 11:59 PM (GMT).

Step 2

  • Notification: receive your acceptance or rejection notification via email and in your Galoa account by April 12th, 2025.

  • Corrections: if the reviewer suggests corrections, please submit the revised abstract within 5 days (up to April 17th).

  • Registration: if accepted, pay your registration fee by April 20th, 2025. Your registration will only be completed upon payment of the congress registration fee.

📝 Abstract Format

  • Language

    All abstracts and presenter information must be submitted in English.
    The abstract must be typed using Arial 11pt, single line spacing. Abstracts are limited to 250 words and one A4 page.
  • Submission Limits

    The first author can submit a maximum of two abstracts. It is possible to appear as a co-author on other abstracts. Please note that after submission, further changes to the abstract cannot be made unless requested by the Scientific Committee.
  • Publication

    All accepted abstracts will be published in the Proceedings of the 17th ITTF Sports Science Congress - Doha 2025, provided that the first author has paid the registration fee by April 20th, 2025.

📌 Presenter Guidelines:

Personal details of the person presenting the paper must be completed. All presenters must register for the congress. In case the first author is unable to attend, a registered co-author is permitted to present the research on their behalf.
 

Presentation Language: The conference language is English. Posters may be in any language but must include a full translation into English.


Forms of Presentations

  • Authors are free to choose between Oral Presentation or Poster Presentation (debated or non-debated) as their preferred format during the abstract submission process.  The final decision about the presentation format lies with the Scientific Committee and is also due to the settings of the Scientific Programme.

  • Presentations can be held in-person or online at Congress. 
     

Oral presentations

  • Include a 10-minute PowerPoint presentation followed by 5 minutes of discussion.

  • Oral presentations must be developed via Oral presentation model and must be pre-uploaded via your Galoa Account from 20th April to 05th May.

  •  The required file format is a .ppt or .pptx file with a maximum size of 15MB. 

  • Embedded videos are not allowed in the presentation - only external links may be used.


Poster Presentation

There are two types of Poster Presentations:

  1. Debated Poster Presentations - include a 3-minute presentation followed by 2 minutes of discussion

  2. Non-Debated Poster Presentation - Does not include formal presentation time and formalized discussion time. If discussion is required, presenters will be contacted directly via email by interested parties. 

  • Posters will be available for viewing on TVs (55” Interactive touch LED screens. The size Vertical, 680.4 mm (W), 1209.6mm (H), 1080X1920) in the poster area throughout the first day of the Congress. 
  • Poster presentations must be developed via Poster presentation model and must be pre-uploaded in PDF format (one slide only) via your Galoa Account from 20th April to 07th May.  
  • Printed version of the poster is not required. 
  • Maximum file size: 2MB. 
  • Embedded images should be .jpeg or .png file formats with a resolution of 72dpi or 96dpi. 
  • Animations, animated effects, and videos are not allowed.
     

📂 Content Requirements for Oral and Poster Presentations 

Both oral and poster presentations must include the following elements:

  • Title 
  • Name(s), academic position(s), host institute(s) of the authors
  • Introduction, Objective, Materials & Methods 
  • Results & Discussion - It is recommended to illustrate results with graphs, tables, and images. The proportion of images, tables, and text should be balanced, ensuring that no single element dominates.
  • Conclusion
  • Author’s email address 
  • Acknowledgements (if it is necessary)

This version improves clarity, readability, and consistency while maintaining the original meaning.

📲 How to submit your presentation: 

Please follow the steps below to submit your presentation:

  1. Access your author's area in "my submissions";
  2. Your abstract will be in draft form in phase 2; click on it.
  3. Simply select the "edit submission" option.
  4. Confirm the data and upload your file.
